The Rock Port Tourism Board met Tuesday August 16, 2016 at 5:30 p.m. at Rock Port City Hall. Members present were Candy Jennings, Angela Mace, Donnie Parsons, Tami Lansdown, and Denton Melvin. Also present was City Clerk Ashtin Paris.
The meeting was called to order.
Denton Melvin moved to approve the April 12, 2016 meeting minutes. Angela Mace seconded. All votes aye.
Donnie Parsons moved to approve the April 2016 financials. Candy Jennings seconded. All votes aye.
Denton Melvin moved to approve the May 2016 financials. Candy Jennings seconded. All votes aye.
Donnie Parsons moved to approve the June 2016 financials. Angela Mace seconded. All votes aye.
Donnie Parsons moved to approve the July 2016 financials. Candy Jennings seconded. All votes aye.
Candy Jennings reported that the welcome signs should be completed in 6 weeks. Footings are being dug for the signs. The final bid from Tarkio Avalanche is $5,100 for all three signs and the bid from Jim Smith is $15,000. Total estimated cost is $20,100. There may be an additional cost if the signs need to be reinforced.
Denton Melvin moved to amend the 2016 tourism board budget by increasing the welcome sign budget line to cover the total cost of the signs and to use available cash to cover the difference. Donnie Parsons seconded. All votes aye.
Board members discussed changing Oktoberfest due to the decline in attendance and the cost to hold the event. Members discussed changing the name of the event to “Fall Fest” and for it to be a family event with bounce houses and games for the kids and a soup/chili cook-off. Members also discussed getting school groups involved with the event.
Tami Lansdown reported that the hospital has approached her about combining the Quilt Show and the Me Market for the weekend of November 5th-6th. Tami is going to check with the school about having it in the gym. Tami will continue to work out the details with Community Hospital – Fairfax.
Members Angela Mace and Donnie Parsons both visited the turbine site to see what needs to be done. Weeds need to be sprayed or pulled. Otherwise, the site looks good for the remainder of the year.
The OFSN ball drop will be held at 5 p.m. on September 17. The ball drop will be set up in the same area as last year and all balls may be turned in immediately following the drops at the same location. There will be two drops again this year. Clerk Paris will ask Sam Lansdown to drop the balls again this year.
The next meeting will be held Wednesday September 21, 2016 at 5:30 p.m. at Rock Port City Hall.
